Info: Managing Users for Your Organization

Who this article is for: Organization Admins - team members with admin access across every practice in your organization's Liine portfolio.

If your organization manages multiple practice dashboards in Liine, you can add, edit, and remove users at those practices yourself - no need to contact Liine support. This article covers how to manage users at practices that belong directly to your organization.

Note: This article covers practices owned by your organization. If you also work with practices that a partner organization has shared with you and need to manage those users, see Managing Your Team's Access to Shared Practices for how those work differently. Key terms

  • Organization - your company's portfolio in Liine: the full set of practice dashboards your business manages. Liine sets this up and keeps it current as practices are added or removed.

  • Organization Admin - a team member with admin access to every practice in your organization automatically. When a new practice is added to your organization, every Organization Admin gets access to it immediately.

  • Organization Member - a team member within your organization that has access to one or more practices.

  • Self-Service User Management - the page where you add, edit, and remove users at your organization's practices.

These changes take effect immediately - no waiting on Liine to process a request.

What requires a request to Liine

A few things affect your organization's core setup and go through your Customer Success Manager or support@liine.com instead:

  • Adding or removing practices from your organization

  • Setting up a new connection to share practices with a partner organization


How to add a user

  1. Click on your user icon in the top right-hand corner of your dashboard, hover over Settings, and select Users to access self-service user management.

  2. Select your organization from the account/organization selector in the top left-hand corner of your dashboard.

  3. Click + Invite User.

  4. Enter the user's first name, last name and email address.

  5. Select whether the user should receive weekly summary emails from Liine or not.

  6. Click Next: Practice Access to proceed.

  7. Select the practice(s) you want to give them access to. For access to all practices within your organization, see the note below.

  8. Choose their role and permissions at each practice (see Roles, below).

  9. Save. The user will receive an email invitation to set up their login.

Note: if a user should have access to all practices within your organization and should have the same permissions for all, you can select the 'All Practices' tab in the 'Practice Access' step when adding a user. This will also grant the user access to any new practices that are added to your organization in the future, with the same permissions applied.

How to edit a user's role or permissions

  1. Click on your user icon in the top right-hand corner of your dashboard, hover over Settings, and select Users to access self-service user management.

  2. Select your organization from the account/organization selector in the top left-hand corner of your dashboard.

  3. Click Edit next to the user that needs to be adjusted.

  4. Update their role or permissions and/or remove their access from any practices they no longer need access to.

  5. Save. The change applies immediately.

How to remove a user

  1. Click on your user icon in the top right-hand corner of your dashboard, hover over Settings, and select Users to access self-service user management.

  2. Select your organization from the account/organization selector in the top left-hand corner of your dashboard.

  3. Locate the user, and click Edit.

  4. Select the practice(s) to remove them from.

  5. Click Remove from Practice.

Removing a user from a practice only removes their access to that practice - if they have access to other practices in your organization, that access is unaffected unless you remove it separately.

Making changes across multiple practices at once

If you need to add, edit, or remove a user at several practices at the same time:

  1. Click on your user icon in the top right-hand corner of your dashboard, hover over Settings, and select Users to access self-service user management.

  2. Select your organization from the account/organization selector in the top left-hand corner of your dashboard.

  3. Select the user(s) you want to change.

  4. Open the Bulk Actions menu.

  5. Choose the action (for example, Add to Practice or Remove from Practice).

  6. Select the practices to apply it to, and confirm.


Roles

Each user is assigned a role at each practice they have access to:

  • Admin - full access to that practice, including the ability to manage other users at that practice.

  • User/Manager - standard access to view and work in the dashboard, without user-management permissions. Permissions to access the Interaction Log or access Integrations can be managed at the user level.

A user's role is set per practice - someone can be an Admin at one of your practices and a User at another.


How access works

A few rules explain how user access behaves across your organization:

  • Organization Admin access is automatic and applies to every practice. If you're an Organization Admin, you have access to every practice in your organization, and that access can't be limited to just some of your practices. If someone should only see a handful of your practices, add them individually to those specific practices instead of making them an Organization Admin.

  • Removing a practice from your organization removes access automatically. You don't need to manually remove users from a practice that's no longer part of your organization.


Common scenarios

"We hired a new employee who needs access to a few of our practices." Add them in Self-Service User Management, selecting only the practices they need and the appropriate role and permissions at each.

"An employee left the company."

  • If they were an Organization Admin, you can remove them from the Organization level - this revokes their access to every practice at once.

  • If they were a regular user, remove them yourself from each practice in Self-Service User Management (or use Bulk Actions to remove them from several at once).

"One person should only see 3 of our 15 practices." Don't make them an Organization Admin. Add them individually to those 3 practices with whatever role fits.

"Someone from our marketing agency needs access to our dashboard." Don't add them directly to your dashboard. If you are already sharing practices with your marketing agency's organization, they can add the user themselves. If your marketing agency does not have an organization set up in Liine yet, reach out to your Customer Success Manager to get this started.
